Correcting an error in a Ukrainian civil registry record
We correct errors in civil registry records — typos in names, dates and places that get documents refused. Anywhere in Ukraine, without you travelling.
When a correction is needed
A typo in a name or surname
One letter of difference between the certificate and the passport — and abroad the documents are no longer accepted as relating to one person.
An error in a date or place
A wrong date of birth, place name or patronymic in the registry record.
Documents do not match
The certificate says one thing, the passport or diploma another. The authority wants them brought into line.
Old transliteration
The Latin spelling differs from document to document, and it was noticed when you applied abroad.
What we need from you
- A scan or photo of your passport
- A copy of the document with the error
- Copies of documents that show the correct version — passport, parents’ certificates, diploma
- A short explanation of what needs to be corrected and to what
- The address the finished document should be sent to
We prepare everything required to approach the civil registry office on your behalf. Your presence in Ukraine is not needed.
How it works
- We review the documents and assess whether there are enough grounds for the correction.
- We prepare the documents needed for the application.
- We file the application with the civil registry office that holds the record.
- The registry office checks the archived records and makes the amendment.
- We collect the new certificate, with an apostille if needed, and send it to you.
Price and timeline
Correcting a registry record costs from 3,000 UAH. The exact amount depends on whether the registry office can correct the error itself or a court decision is needed. Send a photo of the document and we will quote the amount before you pay anything.
Apostille and translation after the correction
After the correction a new certificate is issued — and that is the one to apostille and translate. Doing it before the correction makes no sense: the document would have to be redone.
Start by sending scans of both documents — the one with the error and the one that shows the correct version. We will tell you straight away whether the grounds are sufficient, before any work begins.
Questions people ask most
Can an error always be corrected?
No. You need documents that prove the correct version. If there are none, the matter goes through a court — we will tell you that at once, not after payment.
How long does it take?
Longer than an ordinary duplicate: the record is retrieved from the archive and checked. We give the timeline once we have seen the documents.
My old documents were already translated with the old spelling. What now?
After the correction the translations need updating — we do it straight away so you have a consistent set.
