Documents for a Ukrainian consulate abroad
Consulates of Ukraine accept documents translated into Ukrainian. A translation certified by a Ukrainian notary is accepted without an apostille on the translation itself.
Where the apostille goes
This is the part that trips people up most often, and it works in one direction only.
The apostille goes on the foreign document
It has to be obtained in the country that issued the document — a foreign birth certificate is apostilled by the authorities of that country, not in Ukraine. Do this before anything else.
The translation does not need one
Once the document carries its apostille, we translate both the document and the apostille stamp into Ukrainian and certify the translation with a Ukrainian notary. The consulate accepts that as it is.
The most common case: a child born abroad
A Ukrainian passport for the child is the second step. First the child is registered as a citizen of Ukraine by birth, and that is what the consulate needs the documents for.
Birth certificate
The foreign one, with an apostille from the country that issued it.
Translation of the certificate
Into Ukrainian, with notarial certification.
Parent passport
The international passport of whichever parent is applying.
Copies
Of every page of every document.
Other things consulates ask for documents for
| Situation | What usually needs translating |
|---|---|
| Registering a marriage concluded abroad | Foreign marriage certificate with apostille |
| Registering a divorce concluded abroad | Court decision or divorce certificate with apostille |
| Passport and citizenship matters | Civil registry documents, change-of-name documents |
| Powers of attorney and inheritance | Foreign documents confirming identity and relationship |
| Registering a death abroad | Foreign death certificate with apostille |
How long it takes
The apostille in your own country is not included in that — obtain it first, then send us a photo and we start.
Questions we get most often
Does the apostille have to be on the translation as well?
Not for a Ukrainian consulate, as long as the translation is certified by a Ukrainian notary. That is the difference from having the work done locally, where an apostille on the translation is often required.
My country is not in the Hague Convention. What then?
Then the document cannot be apostilled at all and goes through consular legalisation instead. Check your country here before you start.
Do you need the original document?
For a quote, a clear photo or scan is enough. For notarization, the apostilled original has to reach us in Ukraine — send it by courier, and we return it together with the notarized translation, in time for your consulate appointment.
I also need a Ukrainian document from Ukraine. Can you get it?
Yes. We obtain duplicate civil registry certificates and police clearance certificates without you travelling to Ukraine, and send them to your address abroad.
How is the price calculated?
By the volume of the finished translation — a billing page is 1,860 characters including spaces. A birth certificate normally fits into one page. See prices.
