Civil registry documents

Ukrainian birth, marriage and divorce certificates — duplicates from abroad

We obtain duplicate certificates from any civil registry office in Ukraine for people who are abroad and have no one at home to send to the office for them. You do not need to travel.

In short. Two to two and a half weeks, with or without an apostille. The finished document goes to your address abroad by courier.
In practice it is faster. The duplicate itself is usually ready in 3–4 working days. We quote 2–2.5 weeks with a margin — including the apostille, air-raid alerts and the registry office’s response time.

When you need a duplicate

The document is gone

Lost, burnt, left behind in occupied territory, or damaged badly enough that institutions will not accept it.

It has been laminated

An apostille cannot be placed on a laminated certificate, and the film cannot be removed without damaging the document. A new copy is the only way. This is the single most common surprise our clients run into.

It is an old-style certificate

Soviet-era certificates and documents with handwritten amendments are often refused. The duplicate is issued on a current form.

It is in Ukraine and you are not

The certificate is at home, and there is no one who can collect it and post it to you.

Which certificates we obtain

Document Typical use
Birth certificate Citizenship and residence applications, school enrolment, inheritance, proof of descent for ancestry-based citizenship
Marriage certificate Spousal visas, residence permits, name change, joint applications abroad
Divorce certificate or court decision Remarriage abroad, proof of marital status, immigration files

A duplicate has the same legal force as the original. The original registry entry does not change — the duplicate is issued from it.

What we need from you

1A scan or photo of your passport
2Details to find the entry: full name, date and place of the event, and the parents names for a birth certificate
3A photo of the old certificate if you still have one — it makes the search faster
4The address the finished document should be sent to

We prepare everything required to approach the civil registry office on your behalf. Your presence in Ukraine is not needed.

How it works

1You send the details — we check whether there is enough to find the entry
2We prepare the documents needed to make the request
3We approach the registry office where the event was registered
4We collect the duplicate and, if you need one, add the apostille straight away
5The finished document is sent to you

Duplicate, apostille and translation in one order

If the document is for use abroad, it makes sense to do all three steps together: the duplicate, the apostille from the Ministry of Justice, and the translation with notarial certification. That is faster than doing each step separately, and the document does not have to travel back and forth.

Before we start we check that the document will actually be accepted: an apostille goes only on an original with no lamination and no handwritten amendments. Whether you need an apostille at all depends on the country — check yours here.

Questions we get most often

Will you need a power of attorney from me?

We prepare whatever the request requires. Once we see your details we will tell you exactly what is needed in your case.

How much does it cost?

7,200 UAH with an apostille, 6,000 UAH without, per document. The price is final; only delivery is paid separately, from 810 UAH depending on the country.

What if the entry cannot be found?

That happens with older entries and with archives of communities that changed administrative subordination. In that case we search the archive — it takes longer but usually works.

Can I get a certificate for a deceased relative?

Yes, if you are a direct relative. You will need documents proving the relationship. This is the usual route for people tracing Ukrainian ancestry for citizenship by descent.

Is a duplicate accepted the same as an original?

Yes. It is issued from the same registry entry and carries the same legal force. In practice it is often accepted more readily than a worn Soviet-era original.
