Notarization

Notarized translation in Ukraine

A Ukrainian notary notarizes the translator’s signature. This is the form of certification that state authorities, courts, universities and consulates in Ukraine accept.

Notarization or a translation agency stamp?

Notarization

The notary verifies the identity and qualifications of the translator and notarizes their signature. Required by government bodies, courts, universities and consulates.

Agency stamp

Confirms only that a translation agency produced the text. Some private institutions accept it; most official procedures do not.

What the notary certifies. The notary confirms who signed the translation — not the content of the document itself and not the accuracy of the wording. Accuracy is our responsibility as translators.

What we need from you

The original document

Notarization is done against the original. A photo is enough for a quote, but the original has to reach us before the notary signs.

A copy of your passport

It tells us how your name is written in the original alphabet, so we can render it in Ukrainian consistently across every document in your file.

Where you are submitting

Requirements differ between institutions. Telling us the authority in advance takes a minute and prevents a repeat.

Apostille: before or after the translation?

If a Ukrainian document is going abroad, the apostille is usually placed on the original document, before it is translated: civil registry, court and notarial documents are apostilled by the Ministry of Justice, educational documents by the Ministry of Education. We then translate the document together with its apostille.

Some countries also want an apostille on the notarized translation itself — a double apostille, as for Italy.

Czech Republic, Poland, Hungary, Romania, Bulgaria, Moldova and the Baltic states have legal assistance treaties with Ukraine, so by law no apostille is needed. In practice some offices still ask for one — check in advance. More: do I need an apostille?

Questions

Do I have to come to Zhytomyr?

No. Send photos by Telegram or email and the original by Nova Poshta. We return the finished translation the same way, within Ukraine or abroad.

Can you translate a copy so I keep the original?

The translation is bound to the original or to a notarized copy of the document. If you need to keep the original, the notary makes a certified copy and we translate that.

How long is a notarized translation valid?

The translation itself does not expire. But the receiving office may want a recent document — for example, a recently issued police clearance certificate. Then you need a new certificate and a new translation.

Will the translation be accepted abroad?

It depends on the country. Italy accepts our translation with a double apostille (except for marriage registration); Germany often requires a translation by a sworn translator in Germany; USCIS in the US does not need a notary at all — a translator’s certification is enough. We tell you which applies before you pay.

How long does it take?

A notarized translation usually takes one working day. If an apostille is needed, the timing depends on the authority that issues it — we give you the date for your document.

Price

Notarization is 500 UAH per document, on top of the translation itself. Translation starts at 500 UAH per standard page of 1,860 characters. A birth certificate translated and notarized usually comes to around 1,000 UAH and takes 1 business day.

Full price list

Each copy is charged separately. If you need several notarized sets — for different authorities, for example — additional copies cost 100 UAH each for documents up to 10 pages.
