How long is a Ukrainian police clearance certificate valid?

Getting a Ukrainian police clearance certificate (certificate of no criminal record) is not hard. The hard part is submitting it while it is still “fresh”. If it expires while it is in the post or being translated, you have to order a new one. Here is what timelines to expect and how to plan.

How long the certificate stays valid

The certificate itself does not state an expiry date. How long it is accepted is decided by the authority you submit it to. In our experience:

  • in Ukraine — usually 1 month;
  • in European countries — mostly 6 months;
  • in Canada — 1 year.

Individual authorities may have their own rules, so before ordering check how long they accept the certificate and from which date they count.

How not to let it expire

  • Order it once you know your submission date. A certificate ordered “just in case” may be out of date by the day you need it.
  • Allow time for every step. The certificate itself takes about two weeks; with the apostille and translation, 3–3.5 weeks.
  • Check whether you need an apostille. Ukraine has legal assistance treaties with a number of countries, where the certificate is accepted without an apostille — faster and cheaper. More: do I need an apostille.

How to get it from abroad

You do not need to travel to Ukraine, and no power of attorney is needed. All we need are photos of your documents:

  • ID card — both sides, plus the certificate of registered place of residence;
  • booklet passport — pages 1 and 2, the page with your latest registration, plus the certificate assigning your tax number.

Then it is our job: we order the certificate, obtain the apostille from the Ministry of Internal Affairs, translate it with notarization if needed and send it by Nova Poshta within Ukraine or abroad.

  • Without an apostille — 1,600 UAH, about two weeks.
  • With the Ministry of Internal Affairs apostille — 2,200 UAH, 3–3.5 weeks.
  • Notarized translation — separately, from 1,000 UAH depending on the language.
